Group vacations can be exciting and memorable but planning them can be overwhelming and complicated. Considering planning a group trip for your next vacation? To make the process easier, here are some tips to consider:


Choose a destination that appeals to everyone.


Finding the right destination that the entire group agrees on can be one of the most grueling tasks. Sometimes everyone may not agree on what destination they want to go to. It helps to take a vote in the initial stages of planning a group vacation. That way the rest of the planning process goes a little smoother. 


Decide on a budget that works for everyone in the group.


This should go hand in hand with finding a destination. Some destinations are out of budget for some people in the group right off the bat. Take the time in the beginning of planning to set a budget and location right away. Determine the length of the trip and when everyone is available to travel.


Timing is vital. Some people in the group may want a week to get away from all the stress of work and really soak up their summer holiday. While others may have used their PTO early on in the year or are saving it or simply do not have the luxury of taking off that amount of time. The length of group trip should be an even compromise for all parties.


Book accommodations that fit the group's needs and preferences.


This tip is self-explanatory. Agree on the accommodations needed for everyone involved. Whether it's a drink package for a cruise, an accessible cabin for a hiking trip, picking the right tour guide for a specific city tour; it's important to research in advance, ask the appropriate questions and plan according to everyone's wants and needs. 


Discuss and plan activities and excursions that everyone will enjoy.


A group trip should be about relaxing but don't forget to sprinkle in some fun activities or excursions for everyone can participate and enjoy in. That's what makes these trips memorable for a lifetime. 


Coordinate transportation to and from the destination.


Whether you’re near or far from your group of travelers, there should always be a plan for transportation. Some may fly in but need transportation from the airport to the hotel, or cruise port, or wherever you decide to stay. Sometimes public transportation can be confusing and ride shares are becoming increasingly more expensive. This may affect your group travel attendee’s budget. So, it’s important to discuss transportation before, after, and during your stay prior to your trip.


Consider purchasing travel insurance to protect against unforeseen circumstances.


In today’s climate travel insurance is a must. The benefit to the recent travel changes is that it is easier to obtain travel insurance for any trip. Communicate frequently with the group to ensure everyone is aware of the details and any changes to the plan.


Start a chain message with everyone coming to the trip. Make frequent video calls and check ins. Sometimes it helps to have at least one person heading the planning of the trip so they can arrange regular meetings whether in person or virtual so that everyone is up to date on the next stage of planning. That way when the time comes for the big day everyone is on the page and can go into the trip with peace of mind.
